Job Responsibilities
1. Answer and transfer external phone calls.
2. Receive and welcome visitors.
3. Handle various office administrative tasks, including printing, photocopying, scanning, binding, and destroying documents.
4. Arrange, record, prepare minutes for meetings, and follow up on resolutions.
5. Receive, organize, and distribute company faxes, official documents, letters, emails, newspapers, magazines, advertising materials, and other relevant items, while maintaining accurate records.
6. Compile and update content for the company’s publicity section and online resources.
7. Collect and organize all office archives, including electronic files, and manage the filing of all work-related documents.
8. Perform internal administrative duties, such as filing customer information, managing blank forms and contracts, participating in marketing, promotion, and public relations activities, and providing basic customer consultation.
9. Assist with recruitment, maintain employee records, and participate in personnel and business-related performance evaluations and statistics.
10. Track monthly attendance, report to supervisors, submit data to finance for accounting purposes, and retain records.
11. Safeguard, organize, issue, receive, and register the use of office supplies; ensure proper inventory management upon an employee’s departure.
12. Manage office equipment, including computers, fax machines, and photocopiers, ensuring their proper use and registration, overseeing office assets, promoting efficient utilization, and advocating frugality.
13. Maintain cleanliness and hygiene in common office areas and the general manager’s office.
14. Inspect and supervise indoor and outdoor landscaping and potted plants to ensure a comfortable and pleasant working environment.
15. Conduct post‑work patrols of the entire office area, verifying that doors, windows, water dispensers, computer power supplies, and other equipment are turned off, and documenting findings.
16. Provide logistical support for all employees, including distributing office supplies, printing business cards, issuing employee ID cards, arranging water delivery, booking tickets, processing permits, and handling mail.
17. Pay utility bills (electricity, water, telephone, internet) and other routine expenses on time to ensure uninterrupted service.
18. Complete other ad hoc tasks assigned by superiors.
